1. Understanding the Two Types of Amendments
The GST portal categorises changes into two buckets. Knowing the difference is vital because it determines how long the process will take.
- Core Field Amendments: These are critical details that require verification and approval by a Jurisdictional Tax Officer. They include:
- Legal or Trade Name of the business.
- Principal Place of Business (Address).
- Additional Places of Business.
- Addition or deletion of Stakeholders (Directors, Partners, Karta, etc.).
- Non-Core Field Amendments: These are minor updates that do not require officer approval and are updated almost instantly. They include:
- Contact details (Phone/Email).

2. Requirements: What You Need
Have the following information ready before you log on so you won\’t be timed out:
- Digital Signature: In case of Companies and LLPs, a DSC of Class 2 or Class 3 is compulsory. For individuals and firms, an EVC (OTP-based) works fine.
- Proof of Change: In case of address change, bring a PDF of your electricity bill, rent agreement or property tax receipt. If you are adding a partner, bring their ID and a board resolution.
- Explanation: You must state the exact reason and the date when the modification was effected.
3. Step-by-Step Filing Process
Step A: Login and Access
- Go to the GST portal and log in using your credentials.
- Click Services from the top menu.
- Click on Registration and then on Amendment of Registration.

Step B: Editing the Information
Various tabs (Business Details, Promoters, Principal Place, etc.) will be shown on the portal.

- For Non-Core Fields: The system is automatically updated. You can get the new certificate in a matter of minutes.
- For Core Fields: The Tax Officer shall dispose of the application within 15 working days.
- Scenario A: Upon approval, a new certificate in the form of Form GST REG-06 is issued.
- Scenario B: If the officer finds any difference, he shall issue a notice (Form GST REG-03). You have to reply to this within 7 days of working.

- The 15-Day Rule: The amendment should be submitted within 15 days of the occurrence of such a change. Postponing this may result in fines or a show-cause notice.
- PAN Restrictions: The PAN or the State of registration cannot be modified through an amendment. You need to cancel your old GSTIN and apply for a new one if your PAN gets changed (like from proprietorship to a private limited company).
